How to sign a PDF on Mac without printing it

Printing a document, signing it by hand, and scanning it back to PDF is a waste of time, paper, and quality. Modern Mac tools let you sign PDFs digitally in seconds, and the result looks cleaner than a scanned wet signature.

Types of PDF signatures

There are three levels of PDF signatures. An electronic signature is simply an image of your handwritten signature placed on the document. A digital signature uses cryptographic certificates to verify the signer's identity and detect any changes made after signing. A qualified electronic signature (QES) uses a government-issued certificate and has the highest legal standing.

For most everyday purposes, including contracts, agreements, approvals, and authorizations, an electronic signature (image-based) is legally valid in most jurisdictions under laws like the US ESIGN Act and the EU eIDAS Regulation. You do not need expensive certificate-based signing for routine documents.

Using Preview's built-in signature tool

macOS Preview includes a surprisingly good signature feature. Open the PDF, click the Markup toolbar icon, then click the Signature button. You can create a signature by writing on your trackpad, holding a signed piece of paper up to your camera, or drawing with your mouse.

Once captured, Preview saves your signature for reuse. Click the Signature button on any future document, select your saved signature, and click to place it. You can resize and position it precisely on the signature line.

Preview's limitation is that it only handles simple signature placement. It cannot add date fields alongside the signature, cannot stamp initials on each page, and does not support multiple signers or signature workflows.

Using File Studio's Sign tool

File Studio includes a Sign tool that works entirely offline. Draw your signature with your trackpad or mouse in the ink color you prefer, type your name in one of several signature-style fonts, or upload an image of your signature. Then pick the page, drag the signature into place, and resize it to fit the signature line.

The signature is stamped into the page content of a new copy of the PDF, so it shows up the same way in every PDF viewer and your original file stays unchanged. This is a visual electronic signature, not a certificate-based digital signature.

Because File Studio also handles the rest of the PDF workflow, you can merge the signed pages with other documents, compress the result for email, or add an owner password to discourage edits, all without uploading the contract anywhere. Fill in any form fields in Preview first, since File Studio does not fill forms.

Electronic signatures vs. digital signatures: what is the difference

An electronic signature is any mark on a digital document that indicates intent to sign: a typed name, a drawn signature via trackpad or mouse, an image of a handwritten signature, or even a checkbox labeled 'I agree.' Electronic signatures are legally recognized under the ESIGN Act (United States), eIDAS (European Union), and similar laws worldwide.

A digital signature is a specific type of electronic signature that uses cryptographic technology to verify the signer's identity and detect any changes to the document after signing. Digital signatures require a certificate issued by a certificate authority (CA) and provide a level of authentication and tamper-evidence that simple electronic signatures do not.

For most personal and business use (signing contracts, agreements, applications, and forms), an electronic signature is sufficient and legally binding. Digital signatures are typically required only in specialized contexts: government filings, regulated industries, and cross-border transactions where identity verification is critical. File Studio supports visual electronic signature creation and placement (not certificate-based digital signatures), which covers the vast majority of signing needs.

Creating a high-quality signature for PDF signing

macOS has a built-in signature capture feature accessible through Preview (Tools, then Annotate, then Signature). You can create a signature by signing on a piece of white paper and holding it up to your MacBook's camera, by drawing on a trackpad, or by typing your name in a script font. Once captured, the signature is stored in your macOS keychain and available in Preview and other apps.

For the best quality, sign on white paper with a thick black pen (a Sharpie or felt-tip pen works well) and photograph it with even lighting and high contrast. A clean capture produces a signature that scales well and looks natural at any size. Thin pen strokes and gray backgrounds result in signatures that look faded or muddy when placed on a PDF.

File Studio lets you create a signature directly within the app by drawing, typing your name in a signature-style font, or uploading an image. For a camera-captured signature, save a clean scan as a transparent PNG and upload it. You can drag the signature into place and resize it before saving. For signatures you use frequently (e.g., a business signature vs. a personal signature), keep image versions handy for quick access.

Proper signature placement and finalization

Position your signature within the designated signature line or box on the form. Most legal and business documents include a clearly marked signature area. If the document does not have one, place your signature at the bottom of the relevant page, typically below the last line of text or terms.

Some tools place a signature as a movable annotation, which recipients can drag or delete. File Studio instead stamps the signature into the page content of a new copy, so it cannot simply be moved or removed in a PDF viewer. If you sign with Preview, printing to a new PDF achieves a similar result.

If the document requires multiple signatures (e.g., initials on each page and a full signature on the last page), sign one page, save, and run the signed copy through the Sign tool again for the next page. Preview is another option for placing many signature marks in one session.
